This guide provides general planning information. Product, technical, legal and tax requirements should be verified for your own business.
Confirm your billing scenarios
Begin with the invoices your business actually issues. Product and service businesses may need different fields, units, discounts and tax treatment. Inter-state and intra-state transactions also need clear configuration.
This guide is operational, not tax advice. Have your accountant validate tax rules, invoice formats and filing responsibilities for your business.
- Customer GSTIN and place-of-supply details
- HSN or SAC records where applicable
- CGST, SGST and IGST configuration
- Credit notes, debit notes and cancelled invoices
Check numbering and corrections
Ask how financial-year numbering is configured and how mistakes are corrected without silently rewriting history. Staff should understand who can edit, cancel or issue adjustment documents.
- Separate invoice series if required
- Permission controls for edits and cancellation
- Audit history for important changes
- Print, PDF and email output
Review reports and exports
The useful test is whether the reports match the way your accountant reviews sales and purchases. Export a sample rather than relying on screenshots.
If e-invoicing, e-way bills or another external service is in scope, verify current eligibility, API access and provider support before treating it as included.
Plan ownership, backups and support
Billing records are business-critical. Confirm automated backups, restore procedures, exports and the process for moving data later. Run a sample restore or migration before depending on the system.
- Owner and cashier roles
- Backup location and frequency
- Spreadsheet or accounting exports
- Support hours and escalation path
